Travel Policies & Procedures
Staff International Travel PolicyThe Monash University Staff International Travel Policy and Procedures for Australian-based Staff was approved in July 2005 and took effect from 1 August 2005. The policy provides the framework for all international travel undertaken on behalf of Monash University by staff and postgraduate research students. The policy and procedures are contained in - the Staff International Travel Procedure document Domestic Travel PolicyThe policy in respect of domestic travel effectively follows the principles from the above international policy in respect of class of travel. From a University perspective, there is no need for a travel plan to be submitted although local faculty/division rules may apply. Travel diaries are still required depending on the number of nights away. All domestic bookings for domestic travel are to be directed through the University's nominated Travel Management companies - Voyager or HRG . Class of travelInternational travelFor Monash University staff and postgraduate research students, the choice of travel class is based on balancing cost with a need for staff to be fit and able to work effectively at their destinations. Time available for 'recovery' from travel, especially across a number of time zones is a key factor in the choice. However, under no circumstances is a staff member permitted to use university funds to travel first class. Refer to section 4 of the Staff International Travel Policy for specific details about choice of travel class. The University's Travel Management companies ( Voyager and HRG ) are contracted to search out the best fare of the day taking into consideration the time of flights, any flight connections, seat availability and the need for flexibility to change flights, if required. Where appropriate the most logical fare should be chosen. Domestic travelThe permitted class of travel for domestic trips is guided by the same principles that are listed for international travel (refer section 4 of the Staff International Travel Policy). As all domestic travel within Australia is covered by flights that are less than 6 hours duration, the exceptional conditions for international travel do not apply. Consequently, all domestic travel should be booked as economy class. However, staff may use accumulated frequent flyer points for upgrade to business class, if required. First class travel is not available to any Monash University staff. Business class airfares are available to the Monash University Senior Management Group as listed on the Executive Services web page. Travel PlansStaff and postgraduate research students are to prepare a travel plan and obtain authorisation/approval for the plan prior to confirming the travel booking. Approved travel plans are to be retained within the faculty or division. Details on requirements for travel plans are explained in the Monash University Staff International Travel Policy and Procedures for Australian-based Staff. Details on Travel Plans and the criteria for seeking permission to book travel with a travel provider other than the University's preferred travel manager, HRG, is contained in the section on Travel Plans. A comprehensive travel plan (as required by the University's Staff International Travel Policy) completed prior to booking will assist in the completion of the Travel Diary. Click here for more information on travel plans Travel DiariesThe Monash University Travel Diary must be completed by end of all international trips and provided to the nominated Faculty / Directorate International Travel Officer who will make it available to Monash University Corporate Finance along with the expense report. For domestic trips, where staff are away from home for a total of more than five consecutive nights, there is a requirement to complete a travel diary for Fringe Benefit Tax purposes.
